Adding a file to Lima

When Lima is installed on your system it is likely that other users will have begun to populate (add files to) Lima. Therefore, it is strongly advised that you familiarise yourself with how your company has decided to structure their project folders and where files are to be located.

The Lima Support Team strongly advise new users to either undertake the relevant software training or liaise with their on-site Local Lima Administrator (power/super user) prior to adding files to the Document Management Software.

Additionally, as the system is live, the contents of Project Folders will continually change and develop as your business works with the software.

Once familiar with the folder structure, should you wish to add a new file to the system please follow the instructions below. If you wish to add an email please click here.

To add a file to Lima firstly locate the file on your local machine, portable storage device, or relevant network drive.

In the example shown below the file "120223KB Project Alpha Meeting Notes.doc" is stored in a folder called "For Project Alpha" on my local machine (shown in the address bar at the top of the image).

As Lima does not affect the original file it assumes that the version placed within Lima will become the master copy designed to be shared with other users. Therefore, we must firstly make a copy of the file.

Right click on the file (original/source location) and select copy from the menu. Alternatively users can use ctrl+c to copy the file -

The file is now stored on the Microsoft clipboard (not to be confused with the Lima clipboard as explained here.

Now open the destination folder in Lima where the file is to be stored. In the example shown below the file "120223KB Project Alpha Meeting Notes.doc" is going to be placed in the folder "5.1. Minutes of Meetings & Progress Reports"

Select part of the white space in Folder Contents, right click and select paste. Alternatively users can use ctrl+v to paste the file -

The file is now uploaded to Lima. The file is highlighted in blue to indicate that it is the present file selected in Lima.

NB - Some files such as .doc or .xls files do not preview in Lima by design, this is explained here.

It is strongly advised that the original/local copy is then archived and not modified as those modifications will not be shared via Lima. The file stored within Lima should now be considered the master copy, one that is shared with the appropriate users throughout your organisation.
